If there is ever a situation where you had to return or discard a product after receiving it, and you will be getting a credit from the vendor you will need to use the vendor returns option.
- From the Purchasing menu, click Vendor Returns
- Vendor – Select the Vendor from the drop-down list.
- Credit Number – Enter the return authorization credit number assigned by the vendor when authorizing the return.
- Return Date – The date the product is returned. This date must be in the current, unposted week.
- Credit Amount – The total credit amount for the return. Enter the credit amount as a positive value.
- Pick either Look Up Invoice or Use Last Price
- Look Up Invoice – This button is used to return product(s) against a specific invoice. The return form will be displayed containing a list of the products originally purchased on the selected invoice.
- Use Last Price – If not returning products against a specific invoice, Use Last Price. The return form will be displayed containing a list of all products that can be returned to this vendor.
- Enter the Return Quantity for the product(s) being returned.
- To apply Vendor surcharge credits (i.e. tax, fuel surcharge, delivery fee, etc.), click the Show/Hide Order Info icon to display the transaction header and footer.
- In the transaction footer:
- To add charges for Tax, Freight/Shipping or other Misc. charges, select the appropriate General Ledger account from the drop-down, then enter the value.
- If necessary, edit the Credit Amount.
- When all Return Quantities (and charges) have been entered and the over/short value is zero, click Reconcile.
Helpful Hint: To see over/short or Credit Amount click Show/Hide Order Info button from Step #8 and look at the footer
- A confirmation message will display. Click OK to confirm.
